Managing Rota Employee Shifts

  • The Schedule supports split shifts so each employee can have multiple shifts on the same day.

Step-by-step

See below for a step-by-step guide on creating a new employee shift, updating an existing employee shift and deleting an employee shift.

Creating a new employee shift
  1. Navigate to the 'Rotas' area using the system menu.
  2. Use the search to find the staff rota that you wish to update.
  3. Click/press the 'Manage' button.
    • You can use the one in the right hand panel or the one in the list.
  4. Once the record has loaded either:
    • Go to the 'Schedule' tab find the relevant employee/day slot/cell in the table, click/press the slot/cell then select 'New Shift'.
    • Go to the 'Schedule' tab find the relevant employee, click/press the arrow next to their name and select 'New Shift'.
    • Go to the relevant 'Day' -> 'Schedule' tab, find the employee/day slot in the table, click/press the slot/cell then select 'New Shift'.
    • Go to the relevant 'Day' -> 'Schedule' tab, find the employee click/press the arrow next to their name and select 'New Shift'.
  5. Check the day is correct.
  6. Specify the shift start/end times.
  7. Enter any other details.
  8. Click/press the 'Save & Close' button.
Updating an existing employee shift
  1. Navigate to the 'Rotas' area using the system menu.
  2. Use the search to find the staff rota that you wish to update.
  3. Click/press the 'Manage' button.
    • You can use the one in the right hand panel or the one in the list.
  4. Once the record has loaded either:
    • Go to the the 'Schedule' tab and find the relevant employee/day slot/cell in the table.
    • Go to the relevant 'Day' -> 'Schedule' tab, find the employee/day slot in the table.
  5. Once you've found the record you wish to update, you can either:
    • Click/press the employee/day slot/cell, open the view and select 'Edit' from within the view.
    • Click/press the employee/day slot/cell, click/press the arrow next to the view button and select 'Edit Details'.
  6. Make the required changes.
  7. Click/press the 'Save & Close' button.
Deleting an employee shift
  1. Navigate to the 'Rotas' area using the system menu.
  2. Use the search to find the staff rota that you wish to update.
  3. Click/press the 'Manage' button.
    • You can use the one in the right hand panel or the one in the list.
  4. Once the record has loaded either:
    • Go to the the 'Schedule' tab and find the relevant employee/day slot/cell in the table.
    • Go to the relevant 'Day' -> 'Schedule' tab, find the employee/day slot in the table.
  5. Click/press the employee/day slot/cell.
  6. Click/press the down arrow next to the 'View' button and select 'Delete'.
  7. When prompted, click/press the 'Delete' button on the confirmation dialog.
