Manage your employees contracted hours/working days from within their employment record.

Key Points

When managing employee contracted hours/working days, the main points to be aware of are.

  • Each employee will only ever have a single set of contracted hours/working days active at any point in time.
  • You can maintain multiple revisions of each employees contracted hours/working days, each with their own effective (from/to) dates so you can specify different contracted hours/working days at different points in the year.
  • In order to view/manage contracted hours/working days, you must be granted access to do so.
  • You can restrict access to contracted hours/working days by employee group.
Step-by-step

See below for a step-by-step guide on setting new hours/working days, updating existing hours/working days and deleting hours/working days.

Setting new contracted hours/working days.
  1. Navigate to the 'Workforce' area using the system menu.
  2. Use the search to find the employee that you wish to update.
  3. Click/press the 'Manage' button.
    • You can use the one in the right hand panel or the one in the list.
  4. Once the employee record has loaded, go to the 'Hours/Working Days' tab.
  5. Click/press the 'New' button under the 'Details' header.
  6. Enter the min, max and preferred hours.
    • The above values are all optional.
  7. Specify the effective (from/to) dates for the contracted hours/working days.
    • This is entirely optional, but you will need to set the dates if you want to keep track of all of the changes from within the employees employment record.
  8. Now that we have set the hours, it is onto the working days.
  9. Click/press the 'Edit' button to the right of the list of days.
  10. From here you can set whether the employee is off, if they can work any time or just specific times.
    • You can set the values for every day or just a selection of days from the 'With Checked' section below the list of days.
    • If you select specific times, you can specify the start/end times for the relevant day.
  11. Once you've specified the working days, click/press the 'OK' button.
  12. The list of days should now be updated with a summary of your selections; the specific times, however, will not be displayed in the summary.
  13. Should you wish to do so, you can leave any additional notes to specify why the employee is working specific hours/days.
  14. Click/press the 'Save & Close' button.
Updating an existing contracted hours/working days

Follow the steps below to update an existing revision.

  1. Navigate to the 'Workforce' area using the system menu.
  2. Use the search to find the employee that you wish to update.
  3. Click/press the 'Manage' button.
    • You can use the one in the right hand panel or the one in the list.
  4. Once the employee record has loaded, go to the 'Hours/Working Days' tab and then go to 'Revisions'.
  5. Find the record you wish to update.
  6. Click/press the down arrow next to the 'View' button and select 'Edit'.
    • Alternatively, you can also click/press 'View' then open the editor from there.
  7. Make the required changes.
  8. Click/press the 'Save & Close' button.
Revising contracted hours/working days

Follow the steps below to create a new revision.

(Creating a new revision will copy the details from the selected revision, minus the effective (from/to) dates which will be adjusted accordingly.)

  1. Navigate to the 'Workforce' area using the system menu.
  2. Use the search to find the employee that you wish to update.
  3. Click/press the 'Manage' button.
    • You can use the one in the right hand panel or the one in the list.
  4. Once the employee record has loaded, go to the 'Hours/Working Days' tab and then go to 'Revisions'.
  5. Find the record you wish to revise.
  6. Click/press the down arrow next to the 'View' button and select 'New Revision'
  7. Make the required changes.
  8. Click/press the 'Save & Close' button.
Deleting contracted hours/working days
  1. Navigate to the 'Workforce' area using the system menu.
  2. Use the search to find the employee that you wish to update.
  3. Click/press the 'Manage' button.
    • You can use the one in the right hand panel or the one in the list.
  4. Once the employee record has loaded, go to the 'Hours/Workings' tab and then go to 'Revisions'
  5. Find the record you wish to delete.
  6. Click/press the down arrow next to the 'View' button and select 'Delete'.
  7. When prompted, click/press the 'Delete' button on the confirmation dialog.
